GuideScout looks at existing departures and the passengers within them, and then adds the new booking to an existing departure if there's space, or creates a new departure if not.
- Passenger is added to an existing departure: If there's
space in an existing departure, GuideScout will add the passenger to that
departure. GuideScout uses intelligent grouping to determine the best departure
for the new passenger based on the following goals:
- Reduce guide pickup/dropoff pressure: GuideScout finds departures at the same time with similar pickup and dropoff locations to reduce guide workload during pickups and dropoffs.
- Increase group cohesiveness: GuideScout groups similar passengers together based on their composition (adult/child) and requirements.
- Passenger is added to a new departure: If there's no space in any existing departures, GuideScout will create a new departure for the passenger and start looking for available guides.

Maximise guest-guide compatibility
If a guide is not already assigned, GuideScout uses GuideMatch, an intelligent matching system, to find the best guide for the new departure based on the following goals:
- Maximise guest-guide compatibility: GuideScout looks at the guide's skills, languages, and experience to find the best match for the new departure.
- Reduce operational workload: GuideScout finds guides that are available and qualified for the new departure, reducing the need for manual guide assignment.
- Eliminate human errors: Before joining GuideScout, operators relied on messy spreadsheets and manual workflows—often leading to errors like double-bookings. GuideScout replaces this chaos with automated, intelligent scheduling that ensures every guide is assigned to the right tour, every time.
- Ensure fair guide distribution: GuideScout can progressively ping different guides, (optionally) starting with those that have the least working hours in the season, and then moving on to other guides if the request wasn’t accepted.
GuideScout can also use the powerful GuideMatch technology to search for guides beyond your network, including freelance guides or guides from guide associations, to find the best match for the new departure.
